3 Quotation & Order Terms

All business relationships with VTreformer begin with a formal inquiry and quotation process. Submitting an inquiry through any channel (website form, email, trade platform, or direct message) does not constitute a binding order.

Inquiry & Quotation Process

• Inquiries should include product type, intended use, quantity, destination country, and any customization requirements to receive an accurate proposal.
• Quotations are valid for 30 days from the date of issue, unless otherwise stated in writing.
• Pricing in quotations is based on specifications confirmed at the time of issue. Changes to specifications may result in revised pricing.
• VTreformer reserves the right to decline any inquiry or order at its sole discretion.

Order Confirmation

• An order is considered confirmed only upon receipt of a signed Purchase Order (or written acceptance) and the agreed deposit payment.
• Production will not commence until the deposit is received and all product specifications are mutually confirmed in writing.
• Modifications to confirmed orders may be subject to additional costs and lead time adjustments.

4 OEM / ODM Customization

VTreformer offers full OEM and ODM services, allowing clients to develop private-label products or customized configurations under their own brand. The following terms apply to all customization engagements.

Customization Terms

• Customization requests must be submitted with detailed requirements including style, materials, dimensions, color references, logo files, and target quantity.
• 3D design previews will be provided for client approval before any physical sample is produced.
• Physical samples are typically completed within 7-10 business days after design approval.
• Sample fees may apply and are typically credited toward the bulk order upon confirmation.
• Production lead time for OEM/ODM orders is 25-35 business days after sample approval and deposit receipt.
• All custom designs, molds, and tooling developed specifically for a client remain the intellectual property of that client upon full payment, unless otherwise agreed in writing.
• VTreformer reserves the right to retain and reference production know-how, but will not replicate client-specific brand elements for third parties.

5 Payment & Trade Terms

All financial transactions with VTreformer are conducted in accordance with internationally accepted B2B trade practices. Specific payment terms are confirmed in each individual quotation or sales contract.

Standard Payment Structure

• Deposit: Typically 30-50% of the total order value, required to confirm the order and initiate production.
• Balance: Remaining amount due prior to shipment or upon presentation of shipping documents, as agreed.
• Payment terms for repeat clients with established relationships may be adjusted by mutual written agreement.

Accepted Payment Methods

• Telegraphic Transfer (T/T / Wire Transfer) -- primary method for international orders.
• Letter of Credit (L/C) -- available for orders above agreed thresholds; terms to be confirmed in advance.
• Other methods (PayPal, trade platform escrow) may be available for smaller orders; confirm with your sales contact.

6 Shipping & Delivery

VTreformer ships from all major Chinese ports and works with established freight forwarding partners to ensure reliable, timely delivery worldwide.

Shipping Arrangements

• Shipping method (sea freight, air freight, or express courier) is determined based on order size, destination, and buyer preference.
• VTreformer can arrange freight on behalf of the buyer (under CIF/DAP/DDP terms) or provide shipping documents for buyer-arranged logistics (under FOB/EXW terms).
• All goods are professionally packed for international transit. Packaging standards are designed to prevent damage during loading, ocean transit, and unloading.

Lead Times & On-Time Performance

• Standard production lead time: 25-35 business days from order confirmation and deposit receipt.
• VTreformer maintains a 98% on-time delivery rate across all orders.
• Lead times may be extended during peak production periods, national holidays, or due to force majeure events. Clients will be notified promptly of any delays.

Inspection & Acceptance

• Buyers are encouraged to arrange pre-shipment inspection (PSI) through an independent third party (SGS, Bureau Veritas, or equivalent).
• VTreformer will cooperate fully with inspection arrangements and provide reasonable access to goods and documentation.
• Claims for visible shipping damage must be filed with the carrier within the timeframe specified by the shipping company and documented with photographic evidence.

7 Warranty & After-Sales Policy

VTreformer stands behind the quality of every product we manufacture. Our warranty coverage reflects our confidence in our materials, engineering, and production standards.

Warranty Coverage

• Warranty covers manufacturing defects in materials and workmanship under normal use conditions.
• Warranty claims must be submitted with photographic or video evidence, order reference number, and a description of the defect.
• VTreformer will, at its discretion, repair, replace, or provide credit for defective parts or products confirmed to be covered under warranty.

Warranty Exclusions

• Damage resulting from misuse, overloading beyond rated capacity, improper assembly, or unauthorized modifications.
• Normal wear and tear on consumable components (ropes, straps, padding) beyond the wear-parts warranty period.
• Damage caused by environmental factors (extreme humidity, saltwater exposure, improper storage).
• Products that have been serviced or repaired by unauthorized third parties.

After-Sales Support

• 7×24 after-sales support available via email and designated communication channels.
• First response guaranteed within 8 hours; issue resolution target of 72 hours.
• Replacement parts are available for all current product lines and most legacy models.

8 Intellectual Property
